TO
ACCESS YOUR VOICE MAILBOX
1.
From your
own phone when your message waiting light is flashing:
a. Lift the
handset or activate the speaker to obtain dial tone
b. Press your
flashing MESSAGE key
c. The system
will prompt you to enter your security code
2.
From your
own phone when your message waiting light is not flashing:
a.
Dial the internal extension number for voice mail

b.
The system will prompt you to enter your security
code
3.
From
another person’s phone that has a voice mailbox tied to it:
a.
Dial the external extension number for voice mail
_____Ext 6999________
b.
When the voice mail system answers it will prompt
you to enter your personal extension number
c.
The system will prompt you to enter your security
code.
4.
From
another person’s phone that does not have a voice mailbox tied
to it:
a.
Dial the external extension number for voice mail

When voice mail system answers it will prompt you to
enter your personal extension number

5.
From
outside the Lehman College facility:
a.
Dial the external telephone number for voice mail

When you hear your personal greeting begin,
interrupt it by pressing “

# “, followed by
your personal extension number

GENERAL INFORMATION
1.

If you call voice mail using the external telephone
number, you must use a touch tone telephone.
4.
F.Y.I. - each person who has a mailbox on this voice
mail system is called a Subscriber in the voice mail literature.
5 You must set up your
voice mailbox for you phone to take messages
PHONE MANAGER OPTIONS
1. Access your voice
mailbox.
2. Press (3) for phone
manager options.
3. Press (1) for
personal options.
4. There are now three
options you need to act on:
Press
(3) - Record a Personal Greeting
Press
(4) - Change Security Code
Press
(5) - Record Your Name
5. When exiting voice mail,
ALWAYS press the (
*
)
key multiple times until you
hear “Thank You For Calling”.
TO
CHECK MESSAGES
1. Access your voice
mailbox.
2. Press (1)
to listen to new messages, press (5) to listen to saved
messages.
3. Once you have
listened to a message (new or saved) you must take action on it
before going on to the next message:
Press
(1) - to pause / resume
(1) -
Resume
(4) -
Increase Speed
(6) -
Increase Volume
(7) -
Reduce Speed
(9) -
Reduce Volume
Press
(2) - to forward the message with or without an
introduction
to another subscriber
Press
(3) - to backup the message five seconds
Press
(4) - to discard the message
Press
(5) - to save the message
Press
(6) - to review the entire message
Press
(7) - to skip to the next message
Press
(8) - to reply to the message (if it was sent from
another
voice mail subscriber)
Press
(9) - to advance the message five seconds
Press
(0) - to hear the date, time, and from whom the message
was sent (if it was sent from another
voice mail
subscriber)
Press
( # ) - to activate the HELP feature (many of the above
options will be repeated by the automated voice)
4. When exiting voice mail,
always press the (
*
) key multiple times
until you hear “Thank You For Calling”.
TO
RECORD & SEND A MESSAGE TO
ANOTHER VOICE MAIL SUBSCRIBER(Inter-Office Messaging)
1.
Access your voice mailbox.
2.
Press (2) to send a message to another
subscriber.
3.
Enter the mailbox number of the person to whom your
message should be sent. (If you don’t know the
mailbox number of
the desired party, press the ( # ) key for the mailbox
directory.)
4. Press (2) to begin
recording; press (2) to stop recording.
5. Now you must act on the
message you just recorded:
Press
(4) - to discard the message and rerecord it
Press
(5) - to send the message
Press
(6) - to review the message
Press
(0) - for message routing
(1) -
Future Delivery
(2) -
Urgent Status
(3) -
Restrict Message Forwarding
(5) -
Request Receipt Notification (Return Receipt)
Press
( # ) - to activate the HELP feature (many of the above
options will be repeated by the automated voice)
6. If you would now like to
sent the same message to another subscriber, press (1)
and enter the subscriber’s
mailbox number -
otherwise press (9). (You can send the same message to
as many subscribers as you want
by repeating the above
procedure)
7. When exiting voice mail,
always press the (
*
) key multiple times
until you hear “Thank You For Calling”.
TO
TRANSFER SUBSCRIBERS INTO VOICE
MAIL
1.
Follow your telephone system transfer procedures,
and transfer the employee to their personal direct extension
number
”TRANSFER”
button, then dial the employee’s specific direct
extension
2.
Hang up.
TO
TRANSFER NON-SUBSCRIBERS
(general public) INTO VOICE MAIL FOR D.I.D. USERS
(without ringing the phone)
1.
Follow your telephone system transfer procedures,
and transfer the caller to the voice
mail pilot number
__________TRANSFER 1150 (voice mail pilot ext)_
2.
You MUST wait until a greeting begins before you can
proceed. Once you have heard this, press ( 1 ????) key,
followed by the mailbox number of the person who’s mailbox you
are transferring into.
3.
Hang up immediately. Do not wait to hear the
employee’s personal greeting begin.
4.
The caller you have transferred will receive the
personal greeting of the desired party and
will be given
instructions on leaving a message for that party. |
