Accessing The Events Calendar in T4

If you are off campus you must first login to the VPN. For more information on how to access the VPN.

Understanding Names, Titles, and Images

Name

Internal use only: This label helps organize events in the T4 backend and is not visible on the live site.

Key Details:

  • The more specific you make this field the easier it is for you and other team members to search for the event
  • Example: "Grad Social Work Information Session 9-10-25"
  • DO NOT USE ANY SPECIAL CHARACTERS: !@#$%&
Title

This is the title everyone will see on the web page and social media. The title should be short, informative, and enticing. Often the Name and the Title can be the same.

Rules to Follow:

  • DO NOT USE ALL CAPS
  • Use Title Case, the same as a Book title or Movie title
    • Example: "Lehman College Jazz Festival 2026"
Images

Must Adhere to strict ADA compliance:

    • The image cannot display any text
    • The image must be 1295 x 870 pixels
    • The image must be 150 DPI aka good resolution
    • If any of these criteria are not met, the event will be rejected.
    • When placing the image in the media library, you must give it alternate text
    • Use this custom app to resize your images

 


Date & Time Fields

Start Date and Time

Specifies the start Date and time. Select the time first.

 

End Date and Time

Specifies the start Date and time. Select the time first.

Note: If there is more than one event, the end time should be for the first event.

 

All Day Event (Check Box)

Check if the event lasts all day

 

Recurs Every

This should only be selected if there are recurrences of the same event. If no recurrences, select the “Never” option.

 

Recurrence End Date

Only if there is a recurrence selected in previous option, select the final date of the event series 

 

Custom Date (1-10)

Only if there is a recurrence selected in previous option. Enter the start date and time of the recurring event for each date.

 


Tagging Your Event

Tagging your event is vital to making sure your event appears on the appropriate pages and when people search for events. It is also how digital screens across campus will know what to display.

Event Categories

Select from several categories associated with your event

School or Division

Select the school or schools that are associated with the event. If no schools are associated, this can be left blank

Department ( Required)

Select the departments associated with the event

Audience

Select the Audience associated with the event

Event Type 

Select the type of event

 


Describing Your Event

Brief Event Description

This should be one to two sentences long and provide a short glimpse into what your event entails (Example: Professor 'Lehman' gives lecture on the rapid growth of AI in the Tech Industry)

Event Full Description

Describe your event in full detail here including dates, times, and requirements

 


Contact & Registration Info

Organizer name:
Name of the contact person for the event

Organizer Phone Number:
Number of the contact person for the event

Organizer Email: Contact Email

Admission Details:
Specify if the event is free, has a registration form or if an RSVP is required.

Admission/Ticket Link:
Only place a link here with no extra text. It will be displayed as a clickable link.

Keywords:
Add any keywords associated with the event. This is important for people searching for your event.
